Privacy Policy
What this document is
This is a working outline of the privacy practices this platform is built to support. It is not yet a legal privacy policy. Before launch it must be replaced with a policy drafted by Texas counsel that reflects actual practice and addresses the Texas Data Privacy and Security Act where applicable.
Information we collect
Contact details you provide through our forms; property information you provide for a rental analysis or management quote; application information if you apply for a rental; account and transaction information if you become an owner or resident; maintenance requests including any photographs you upload; communications with us; and technical information such as IP address and browser type.
Information we deliberately do not store
We do not store Social Security numbers, full bank account numbers or payment card numbers in this application. Screening information is held by our screening provider; payment credentials are held by our payment processor. We retain only references to those records.
How we use information
To respond to your enquiry; to prepare a rental analysis or quote; to evaluate a rental application; to manage a property or a lease; to process payments and produce statements; to coordinate maintenance; to meet legal and regulatory obligations; and to improve our services.
How we share information
With service providers who perform functions on our behalf, including screening providers, payment processors, e-signature providers and communication services; with property owners in relation to their own property; with vendors and contractors to the extent necessary to perform work; and where required by law. We do not sell personal information.
Your choices
You may opt out of marketing communications at any time. You may request access to, correction of, or deletion of personal information we hold about you, subject to legal and contractual retention requirements. The process for making such a request must be documented here before launch.
Retention
Retention periods for leases, financial records, applications and maintenance records must be set with counsel and stated here before launch, including how long information about applicants who were not selected is retained.
Security
We use access controls, encryption in transit, role-based permissions and audit logging. No system is perfectly secure, and we do not claim otherwise.
